Don't give your PCard to anyone else
Your PCard is the property of the University of Florida. Only YOU, the cardholder, may use your PCard. Treat your PCard as you would your own credit card. Do not let others use your card, or card number.

Keep your PCard in a secure place
Your PCard account number should be guarded carefully. Do not post it or put it in a non-secure place. Ensure that your PCard account number isn't easily accessible to others.

Conveying your PCard Account Number to Merchants
The best practice is to swipe the card in person at a merchant's terminal. If this method is not practical for the purchase, provide the number verbally to the merchant making sure that they do not keep your PCard Account Number on file for future purchases. Faxing, emailing and other non-secure methods of transmitting your PCard Account Number is a violation of proper PCard usage.

Purchase Limits
Limits are established by your Dean, Director or Department Chair

  • Single Transaction Limit -
    This is the amount any single transaction cannot exceed - think of it as per swipe of your card.

    When choosing a Single Transaction Limit, take into consideration the purchasing needs of the cardholder as well as your department's spending patterns.

The maximum single transaction limit allowed is $2,000.00, however, we recommend your department select a single transaction limit appropriate for the cardholder's purchasing needs.

  • Monthly Transaction Limit -
    This is the total dollar limit of all transactions which can be made in one month - the limit is reset on the first day of each month.

    When choosing a Monthly Transaction Limit, take into consideration the purchaseing needs of the cardholder as well as your department's spending pattern.

The maximum monthly transaction limit allowed is $25,000.00, again, we recommend your department select a monthly transaction limit appropriate for the cardholder's purchasing needs.

Know the dollar limits on your completed Cardholder Profile.  If you forget them, your charge may be declined when trying to use your PCard.

If you exceed your single or monthly transaction limit, your transaction will be declined.

If you are consistently declined for attempting to exceed your limits, you may wish to request a limit increase from the PCard program administrator.

Asking the vendor to split a charge into multiple transactions to circumvent transaction limits is prohibited and is considered misuse.
