Travel Training - Airfare

Checklist for booking airfare:

•  You may book your flight using one of the University of Florida's Preferred Travel Agencies. The travel agency will charge a service fee.

•  You may purchase your ticket directly from the airlines, on the Phone or on the Web. However, you should be sure that you are obtaining the lowest available fare when using this method.

If you are booking multiple tickets ask for separate transactions for each traveler.

Remember: Get an itemized itinerary including cost to your verifier within 3 days of booking the ticket.
Do not use your PCard to pay for travel insurance. If you do, you will have to reimburse the University for the cost.

Airfare - Cancellation
You may find yourself asking, "What if I can't make a flight for a non-refundable fare?"

Here's your checklist:

•  Cancel the flight immediately. Normally the airlines will charge a minimal fee for canceling a non-refundable ticket.

•  To verify the cancellation fee is allowable, you must file a Travel Expense Report (reimbursement voucher) which includes a justification stating the business reason the airfare was canceled.

•  If a ticket is canceled for the convenience of the traveler, the cancellation may not be reimbursed from State funds.

Airfare - First Class
The University does not allow first class travel.

If you prefer to travel first class, you are responsible for the difference between coach and first-class rates and this difference SHOULD NOT be charged to your PCard.

Airfare – Other travelers

PCard can be used to pay for other travelers on official University Business. Do not pay for spouses and other family members with a PCard unless their travel is for official business.
