Purchasing Directive for Departmental Vehicles

In accordance with the DDD issued January 5, 2006, "Department Vehicle Purchases," it is the intent of the University to purchase vehicles with the highest fuel efficiency and therefore lowest greenhouse gas emissions.

The University will purchase hybrid or alternative fuel vehicles whenever possible. Equivalent “gas only” vehicles may also be considered under the following circumstances:

  • The cost differential or lead time for the recommended hybrid or alternative fuel vehicle would negatively impact research and a Sponsored Research Exemption has been approved.
  • No hybrid or alternative fuel vehicle exists within the vehicle type and class needed.

The purchase of used vehicles will also adhere to this directive.

Purchasing Services maintains a listing of pre-approved recommended vehicles by vehicle type and class to assist departments with choosing a vehicle for purchase at:  Approved Vehicles

To purchase a new Departmental Vehicle, the following will be required:

  • Vehicle identification information for the vehicle to be replaced or written justification from a Dean or VP for adding a vehicle to the fleet.
  • Quote from the dealer.  (Additional quotes will be required if the vehicle is not purchased using a publicly solicited contract.)
  • A requisition containing the year, make, model, engine type (Hybrid/FFV/Diesel/Electric), color (if known), VIN (if known) and the trade-in vehicle identification information (VIN, UF vehicle number, tag number, etc.)
  • A justification on the need for the vehicle including a discussion regarding the particular type/style of vehicle selected, and any extra features provided above and beyond the base vehicle configuration.

Rates include collision damage waiver ($1 - total loss) and supplemental Liability Protections (split limits 100/300/50). Rates include unlimited mileage within the State of Florida and neighboring states. The exception is on all monthly rentals, there is a cap of 2,500 free miles per month.
